The Role
The Client Service Administrator (CSA) position is essential for maximizing the advisor’s time and
strengthening the human connection between clients and our firm. In this role, the CSA collaborates with
both the broader team and external service providers to deliver outstanding client service. The CSA is
responsible for the administrative tasks associated with serving a focused core group of clients and
reports directly to the Director of Client Service.

The Daily Work
Each day you’ll keep the client experience running smoothly by handling day-to-day service needs,
coordinating account-related requests, and partnering closely with advisors and custodial providers. You
will speak and connect with a variety of clients via phone, messaging and email. You’ll be working to put
the best interest of the client front and center. Depending on the time of year, in addition to the regular
work, there will be client project, which will require your attention to detail and ability to solve problems
that may arise.

Essential Responsibilities

  • Monitor and respond to client service requests via phone and email; route items as needed
  • Prepare and submit account paperwork (openings, updates, transfers) and track items through
    completion
  • Coordinate client onboarding steps, gathering required information and keeping clients informed
  • Support advisors by scheduling, preparing documents, and ensuring follow-ups are completed
  • Maintain accurate client records in the CRM and portfolio management systems; run and retrieve
    reports
  • Partner with custodians and outside service providers to resolve administrative issues
  • Open new accounts, update information, and perform routine tasks with the custodians
  • Manage administrative aspects of client onboarding
  • Answer non-investment related client questions
  • Assist clients in accessing accounts and finding statements
  • Handle fund transfer requests
  • Obtain information and follow service requests to completion
  • Maintain CRM system information relating to the team’s clients
  • Run/retrieve reports from the portfolio management system
  • Participate in team projects and company initiatives.

Required Qualifications

  • Bachelor's degree
  • Minimum 2 years of experience in a customer service/support role
  • Excellent verbal and written communication skills
  • Proficiency with Office applications and CRM systems

Salary Range:

  • Based on experience and skillset: $59,000 - $62,000
  • Additional salary considerations for those with specific industry experience

Work Schedule:
Mon-Thursday 8:00a-4:30p, Friday 8:00-4p
