Client Service Specialist (CSS)

Spectrum Strategic Capital Management is seeking an experienced Client Service Specialist (CSS) to support client relationships, account administration, and day-to-day operations within a boutique investment advisory and financial planning firm serving high-net-worth and institutional clients.
This is an execution-focused role for someone who understands the importance of accuracy, responsiveness, and follow-through. The CSS will take ownership of routine client service requests, manage workflows through completion, and help ensure that clients receive timely, professional support.
Primary Responsibilities
- Manage new-client onboarding and account-opening workflows.
- Prepare account applications, internal agreements, and electronic-signature packages.
- Process client requests involving transfers, deposits, money movement, account maintenance, and related service items.
- Resolve Not In Good Order (NIGO) items and track outstanding requirements through completion.
- Maintain accurate client records, workflows, and documentation within the firm’s Customer Relationship Management (CRM) and operating systems.
- Communicate with clients and prospects regarding documentation, processing updates, and routine service requests.
- Support quarterly reporting, billing, Required Minimum Distribution (RMD) monitoring, alternative investment servicing, and other client-service projects.
- Identify opportunities to improve workflows and operational efficiency.
Qualifications
- Prior experience in a registered investment adviser, financial planning firm, broker-dealer, bank, trust company, insurance agency, or similar professional-services environment.
- Experience with client onboarding, account opening, asset transfers, money movement, or custodial service workflows.
- Strong attention to detail, organization, and follow-through.
- Professional written, telephone, and in-person communication skills.
- Ability to independently manage multiple workflows, deadlines, and client requests.
- Comfort learning and using custodial, reporting, CRM, and electronic-document systems.
- Ability to work full-time, in office, in Corvallis, Oregon.
